Responsibilities

• Monitor and manage the CEO's inbox; review automated email drafts before they send; maintain 24-hour response standard
• Manage calendar across time zones; send daily morning agenda with meeting context; protect focus and family time blocks
• Book the CEO into industry events, podcasts, and speaking engagements; prepare event briefs; handle post-event follow-ups
• Review weekly expenses; flag anything over budget or unusual
• Run onboarding checklist for new hires and contractors; ensure agreements signed and accounts ready before day one
• Maintain and pre-fill standard templates - contracts, NDAs, scope docs, proposals
• Review automated workflow outputs; catch errors before they reach a client or the CEO; document recurring issues
• Write and maintain SOPs for all recurring processes using Claude and ChatGPT
• Submit a daily report: what you worked on, what you completed, what is blocked
• Manage tasks and projects in Asana; maintain documentation in Notion; use Microsoft 365 for all communications and document management
• Use AI tools daily - Claude and ChatGPT are your primary tools, not your backup
