The Family Office Administrator will provide day-to-day administrative, corporate, compliance, and operational support for the Family Office structure in the UAE.
Responsibilities will include:
- Day-to-day administration of the DIFC Family Foundation and the IFZA company owned by the Foundation;
- Coordination with DIFC, IFZA, corporate service providers, banks, legal and compliance advisors;
- Preparation and coordination of corporate documents, including resolutions, meeting minutes, annual confirmations, license renewals and statutory records;
- Maintenance of corporate registers, governance files and structured digital archives;
- Monitoring compliance deadlines, license renewals, annual filings and required submissions;
- Preparation and coordination of KYC / AML documentation, bank compliance questionnaires, source of funds / source of wealth packages and ongoing bank requests;
- Acting as a liaison with banks and external advisors, without payment or signing authority;
- Collection, organization and transfer of invoices, contracts, bank documents and supporting documents to the responsible employee / accounting team;
- Maintenance of a structured archive of financial, corporate and operational documents;
- Ensuring availability of required documents for accounting, banks, auditors, lawyers and advisors;
- Administrative coordination of requests between accounting, service providers and external advisors;
- Operational administration of personal assets, including villa-related matters, household staff coordination, maintenance, repairs, service providers and utility-related documentation;
- Monitoring contracts, service agreements, NDAs, renewal dates and vendor performance;
- Preparation of regular administrative and operational summaries;
- Maintaining an up-to-date action list across all entities, assets, advisors and service providers.
High level of attention to detail and confidentiality
Fluent English (Arabic is a plus)
